What you are confirming when you upload

The checkbox says

I am authorised to submit this document and I agree to the privacy and processing notice.

That is two separate promises. This page explains both, because a checkbox nobody understands is not consent.

1. You are authorised to submit it

You are telling us one of the following is true:

Documents about other people. A family register lists a spouse, children, parents. A school record names a child. An employment certificate names an employer. We understand this is normal and unavoidable — that is what these documents are. We are asking you to have thought about it once, not to obtain signatures from everyone named.

If you are unsure whether you may submit something, ask us before you upload it. We would much rather answer a question than hold a document we should not have.

If what you are sending is business material

This page is written around personal documents, because those are the ones where the question is hard. If you are sending a contract, a listing, a manual, site copy, marketing text or a brief for something we are going to write, the question is simpler and it is the same one: are you entitled to hand it to us? You are telling us that it is your business's material, or that you are acting for the business whose material it is, and that where it contains somebody else's text, images or brand, you may use it for this purpose.

Business material often carries personal data too — a customer list in a spreadsheet, names in a contract, an employee in a case study. It is treated exactly like everything else here: used only for your order, seen by the fewest people possible, deleted on the schedule below, never sold, and never used to train anything.

You can ask us to delete sooner and we will, then confirm it. Full detail in the privacy policy.

What we will refuse

We will decline, and cancel the order, if we are asked to translate a document obtained unlawfully, or to change meaning, omit content, or produce anything designed to mislead a third party. This is not a formality — the documents you send us are used to make decisions about people's lives, and a translation that quietly says something the original does not is a serious thing.

Withdrawing consent

You can withdraw at any point by emailing hello@polyfetti.com. If work has not started, we cancel and refund in full. If it has, we stop where we are, delete the files, and refund the part not yet performed. What we cannot do is un-see a document a translator has already read — but we can and will delete it and record the deletion.
